Most foreign buyers just point to an existing product and tell the supplier, “Make this.” But if you want to customize a product or build your own brand, the game changes completely.
Customization involves strict requirements, critical product analysis, and a thorough review of the design and packaging. While a skilled manufacturer can handle this, you need to know how to protect yourself.
Before you start mass production, you must confirm a Pre-Production Sample (PPS). This sample is crucial—it becomes the absolute quality standard for your entire bulk order. Below are our expert tips on how to assess samples and lock in your requirements.
1. Supplier Sample Assessment
Ideally, you should request samples from at least 3 different suppliers to compare their quality.

Notice how products from three different factories were completely different on the inside, even though they were based on the exact same outward parameters?
You truly get what you pay for. In the case above, the internal materials used by Supplier B and Supplier C were far superior to Supplier A. Always choose the sample that complies with your target market’s safety and quality standards, rather than just choosing the cheapest option.
2. Sample Order Specifications Sheet
To ensure your mass production goes exactly as expected, you need a strict agreement before the factory starts making anything.
A professional factory will send you a Sample Specification Sheet upon request. You must pay careful attention to the checklists and contract terms included in this sheet. When customizing a product, make sure the following clauses are clearly stated in your agreement:
a. Set the Target (Price Lock): It is the factory’s (Party A) duty to make the sample exactly as requested by the buyer (Party B). The factory cannot charge you more than the originally agreed price unless you officially approve an amendment.
b. Mould Ownership: If you pay to open a new mould, you own it. Whether the factory agrees with you or not, you possess the absolute right to retrieve that mould and take it to another factory if needed.
c. Protect Your Design: The factory is strictly forbidden from selling or showing your custom packaging, logo, or design to any third-party buyers.
d. Intellectual Property (IP) & Confidentiality: The factory must sign a clause stating they will not use your confidential information for any other purpose or disclose your IP to competitors.
e. Payment Terms: Factories normally demand 100% upfront for custom samples. However, we highly recommend negotiating a 50% deposit, with the remaining 50% paid only after you have approved the final physical sample.
f. Termination Clause: You have the right to cancel the contract and demand a refund if the factory is unable to produce a qualified sample, or if they fail to finish it before the agreed deadline.
3. Sample Approval Checklist
Before you officially sign off on the Pre-Production Sample and wire the money for the bulk order, run through this final checklist. Ensure the sample:
- Functions perfectly: Does it meet all the functional requirements outlined in your original product specifications?
- Is fully detailed: Are the correct labels, technical data, warnings, and packaging specifications included on the sample?
- Has proper documentation: Have you checked and verified all necessary test certifications and lab reports?
- Meets compliance rules: Does the product comply with the environmental and sustainability policies required by your country?
- Offers the best value: Does this specific sample hit the sweet spot between high quality and a profitable margin?
